Wixflo ("we", "our", or "us") provides a WhatsApp-based AI business assistant for Jamaican businesses. This Privacy Policy explains how we collect, use, store, and protect information when you use our platform.
By using Wixflo, you agree to the practices described in this policy.
1. What We Collect
We collect the following categories of information:
- Account information: your business name, contact name, email address, phone number, and login credentials.
- WhatsApp message data: messages exchanged between your business and your customers through the Wixflo managed WhatsApp line, including text, media references, and timestamps.
- Business operations data: orders, bookings, payment records, product catalogues, and customer lists that you manage through the platform.
- Usage data: how you interact with the dashboard, feature usage patterns, and session data used to improve our service.
- Device and browser data: IP address, browser type, operating system, and general location (country/city level) collected automatically when you access our dashboard.
2. How We Use Your Information
We use the information we collect to:
- Operate, maintain, and improve the Wixflo platform and its AI assistant capabilities.
- Process and respond to WhatsApp messages on behalf of your business using AI-powered classification and response generation.
- Manage orders, appointments, and payment processing for your business.
- Send you service-related communications, invoices, and support messages.
- Generate anonymised, aggregated analytics to improve our product.
- Detect and prevent fraud, abuse, or security incidents.
3. Data Storage and Security
Your data is stored securely using a cloud database provider with encryption at rest and in transit. Our application infrastructure is hosted on a cloud hosting provider.
We implement industry-standard security practices including encrypted connections (TLS), role-based access controls, and regular security reviews. While no system is perfectly secure, we take reasonable measures to protect your data from unauthorised access, loss, or misuse.
4. Third-Party Services
To deliver our service, we share limited data with the following third-party providers:
- Messaging infrastructure provider: powers WhatsApp messaging delivery and phone number management.
- AI processing provider: processes message content for AI powered intent classification and response generation. Message data sent to our AI provider is not used to train their models.
- Payment processing provider: handles payment processing for businesses that accept payments through Wixflo.
- Transactional email provider: sends transactional emails (invoices, account notifications, password resets).
- Cloud database provider: provides database hosting and authentication services.
Each provider operates under their own privacy policies. We only share the minimum data necessary for each service to function.
5. Data Retention
We retain your data for as long as your account is active and as needed to provide our services. Specifically:
- Account and business data is retained while your subscription is active.
- WhatsApp message history is retained for up to 12 months, after which it is automatically archived or deleted.
- Payment records are retained for 7 years to comply with applicable financial regulations.
If you cancel your account, we will delete or anonymise your data within 90 days, except where retention is required by law.
6. Your Rights
You have the right to:
- Access the personal and business data we hold about you.
- Request correction of inaccurate information.
- Request deletion of your account and associated data.
- Export your business data (orders, contacts, messages) in a standard format.
- Withdraw consent for non-essential data processing at any time.
To exercise any of these rights, contact us using the details in Section 9 below.
7. Data Deletion Requests
You can request deletion of your Wixflo account and all associated data at any time. This includes your dashboard profile, connected business data, WhatsApp and Instagram message history, customer records, and any linked Meta platform tokens (Facebook Page, Instagram Business Account access tokens).
How to request deletion:
- Email us at privacy@wixflo.com with the subject line "Data Deletion Request" and include the business name + phone number tied to your account.
- Or WhatsApp us at +1 (876) 538-5970 with "Delete my account" and we will respond within 48 hours.
What happens next:
- We verify your identity using the contact details on file.
- Within 30 days, we revoke all Meta platform tokens, disconnect your WhatsApp and Instagram integrations, and delete your account data from our live systems.
- Backup copies are purged within 90 days in accordance with our retention schedule.
- Records required for legal, tax, or regulatory purposes (such as payment receipts) are retained only as long as the relevant law requires and are not used for any other purpose.
If you connected your Instagram or Facebook account to Wixflo and wish to revoke that specific access without deleting your whole account, open the Wixflo dashboard, go to Settings → Channels, and click Disconnect on the relevant integration. This revokes the access token immediately.
8. Cookies and Tracking
Our dashboard uses essential cookies to maintain your login session and remember your preferences (such as dashboard layout and widget configuration). We do not use third-party advertising trackers or sell your data to advertisers.
Our landing page may use basic analytics to understand visitor traffic. This data is collected in aggregate and does not identify individual users.
9. Changes to This Policy
We may update this Privacy Policy from time to time. When we make material changes, we will notify you by email or by placing a notice on our dashboard. Your continued use of Wixflo after any changes constitutes your acceptance of the revised policy.
